Version 1.0 · Effective: November 1, 2026
Operator: Matthew Hinkle, doing business as Cover My Shoot ("Cover My Shoot," "we," "us")
Privacy contact: hello@covermyshoot.com
This policy describes what personal information Cover My Shoot collects through covermyshoot.com, why, what is public and what is not, how long it is kept, and the choices and rights you have. The retention periods and request-response commitments in this policy match our internal Data Storage & Retention Policy; where the two differ, the rule stricter for your data wins.
Account information. Your name, email address, the role or roles you select (professional, customer, or both), and — for professionals — your professional category.
Profile information. What you choose to add: business name, specialties, service area, portfolio and website links, social links, and up to three sample-work links. If you complete any verification step, we record the result of the check, the date, the method, and a reference number — see Section 4.
Listings (project opportunities). The complete listing: category and role needed, event type, date, general location (town/area), times, rate, pay date, pay method, deliverables, and the poster's notes. The poster's name, email address, business name, and any private venue details are stored with the listing but are never displayed publicly (see Section 5).
Responses, selections, and records. When a professional responds to a listing, when a customer selects a professional, and when both sides confirm completion, we keep the assignment record — including both sides' outcome answers. Records are append-only: entries are not edited after the fact; corrections are added as new entries.
Messages. Messages sent between users through the platform's messaging, and messages and questions sent to us through website forms (including the "Questions? Message us" box), which are delivered to hello@covermyshoot.com.
International interest form records. If you submit the interest form at /international, we collect the information described in the International Interest Form Privacy Notice (a separate, short notice that governs that form). Interest records are stored separately from accounts and are not accounts.
Waiting-list records. If you joined the earlier founding waiting list, your name, email, trade, base town, and which side you joined as.
Push-alert subscriptions. If you enable device push alerts, a device push endpoint and its encryption keys, so alerts can be delivered. No phone number is collected for alerts.
Operator and support records. Operator review notes and incident records (reports, reviews, appeals), and support emails sent to hello@covermyshoot.com.
Technical records. Server and security logs generated by our hosting, and the session cookie described in Section 8.
To operate the marketplace (accounts, directory, listings, responses, messaging, the optional agreement tool); to review listings before they appear; to send sign-in codes and, if you opt in, assignment and message notifications; to maintain factual records of completed assignments; to run the incident, reporting, and appeals process; to answer questions and provide support; and to keep the service secure and lawful. Interest-form information is used for one purpose only: launch-update emails if and when Cover My Shoot opens in your country.
Public: professional directory profiles (name or business name, category, specialties, service area, links you provide, verification labels, and factual assignment records); published listings (which show the general location, never the precise venue); and the founding-spots count.
Never public: your email address; poster contact details on a listing; precise venue addresses (shared by the customer directly with the professional they select, outside the public listing); your sign-in codes; private messages between users (visible to the operator only through the moderation/report path); interest-form records; and internal verification details (an insurance certificate's existence and expiry, if supplied, are recorded internally and never displayed).
We do not sell personal information. We share it only with the service providers described in Section 6, or when the law requires it.
We use providers to run the website and email: a hosting platform that serves the site and stores its data, and an email delivery service that sends sign-in codes and notifications and delivers mail to hello@covermyshoot.com. Email sent to hello@covermyshoot.com is delivered to the operator's mailbox.
We keep information for these periods:
The service uses one cookie: a session cookie that keeps you signed in (sign-ins can last up to 180 days, and using the site extends them). That is all. We do not use analytics cookies, advertising cookies, or third-party tracking cookies.
Data moves over encrypted connections. Operator-only pages are access-controlled, and private records (poster contact details, venue details, messages) are not rendered publicly. Verification labels describe only what was actually checked. These are honest descriptions of practices, not guarantees: no system can promise that a breach is impossible. If a breach ever exposes personal data, affected people will be notified as Maryland law requires.

We will respond to deletion requests within 45 days, and we will tell you plainly if a legal or dispute reason requires keeping a specific record longer. Leaving never erases the fact that a completed assignment happened, but your contact details come out of the record.
Cover My Shoot currently operates from Maryland, USA, in interest-collection mode internationally: people outside the United States may submit the interest form, but international membership registration is not open. Interest-form data is stored with the service's United States infrastructure. The structure of this section is prepared so counsel can review, in due course, the requirements of the UK GDPR and Data Protection Act 2018, the EU GDPR, Canada's PIPEDA (and applicable provincial law), and the Australian Privacy Act 1988, including lawful bases, data-subject rights, cross-border transfer rules, and whether a local representative or specific notices are required before any market is promoted or opened. No compliance with any of those laws is claimed.
If this policy changes, the new version will be posted on the website with a new version number and effective date. Material changes will be announced to account holders by email before they take effect.
